A Remote Clerical Administrative Assistant provides administrative support to ensure efficient operation of the office. This role involves performing various clerical tasks and administrative duties to support managers, employees, and office visitors. The assistant will handle a variety of tasks including data entry, managing communication, organizing files, and supporting office needs remotely.
Key Responsibilities:
- Communication Management:
- Answer and direct phone calls.
- Respond to emails and handle correspondence.
- Schedule and coordinate virtual meetings and appointments.
- Prepare communications, such as memos, emails, invoices, reports, and other correspondence.
- Data Entry and Record Keeping:
- Input, update, and maintain accurate records and databases.
- Manage and organize digital files, documents, and records.
- Ensure data accuracy and integrity.
- Document Preparation:
- Draft, format, and proofread documents, reports, and presentations.
- Prepare and send invoices, receipts, and other financial documents.
- Handle confidential information responsibly.
- Office Coordination:
- Order and manage office supplies and equipment.
- Coordinate with various departments and support their administrative needs.
- Assist in the preparation of regularly scheduled reports.
- Customer Service:
- Provide general support to clients and visitors.
- Address client inquiries and provide assistance as needed.
- Handle customer complaints and issues professionally and efficiently.
- Task and Project Management:
- Organize and schedule tasks and projects.
- Assist in the coordination and execution of office projects.
- Track project progress and update relevant stakeholders.
- Other Duties:
- Perform additional clerical duties as assigned.
- Support special projects and initiatives as needed.
Qualifications:
- Education and Experience:
- High school diploma or equivalent; additional qualification as an Administrative assistant or Secretary will be a plus.
- Proven experience as a Clerical Administrative Assistant or in another relevant administrative role.
- Skills:
- Proficient in MS Office (Excel, Word, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
- Strong organizational and time management skills.
- Ability to multitask and prioritize tasks effectively.
- Detail-oriented and problem-solving skills.
- Familiarity with office management procedures and basic accounting principles.
