The Payroll Specialist is responsible for managing and processing the company's payroll accurately and on time. This role involves calculating wages, ensuring compliance with tax regulations, and maintaining accurate payroll records.
Key Responsibilities:
- Payroll Processing:
- Prepare and process bi-weekly, semi-monthly, or monthly payroll for employees.
- Ensure accurate calculation of wages, salaries, overtime, and deductions.
- Verify and reconcile timekeeping records and resolve discrepancies.
- Compliance:
- Ensure compliance with federal, state, and local payroll laws and regulations.
- Prepare and submit payroll tax filings, including federal, state, and local taxes.
- Stay updated on changes in payroll laws and regulations.
- Records Management:
- Maintain accurate payroll records, including employee information, earnings, deductions, and benefits.
- Prepare and distribute payroll reports to management as needed.
- Ensure confidentiality and security of payroll information.
- Employee Support:
- Respond to employee inquiries regarding payroll issues, deductions, and benefits.
- Assist employees with payroll-related forms, such as direct deposit authorizations and tax withholding forms.
- Provide support during audits and resolve any payroll discrepancies.
- Benefits Administration:
- Coordinate with HR to ensure accurate processing of employee benefits, such as health insurance, retirement plans, and other deductions.
- Assist with the administration of employee benefits programs as needed.
- System Management:
- Utilize payroll software to process payroll and generate reports.
- Troubleshoot and resolve issues with payroll software.
- Collaborate with IT to implement payroll system upgrades and improvements.
- Reporting:
- Generate and distribute payroll-related reports, such as earnings statements, tax reports, and benefits summaries.
- Prepare ad hoc reports for management as requested.
Required Qualifications:
- Education:
- High school diploma or equivalent; associate's or bachelor's degree in accounting, finance, or a related field preferred.
- Experience:
- Proven experience as a payroll specialist or in a similar role.
- Familiarity with payroll software and systems (e.g., ADP, Paychex, QuickBooks).
- Skills:
- Strong attention to detail and accuracy.
- Excellent organizational and time management skills.
- Proficiency in Microsoft Office, particularly Excel.
- Strong understanding of payroll laws and regulations.
Preferred Qualifications:
- Certifications:
- Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) preferred.
- Experience:
- Previous experience in a multi-state payroll environment.
- Experience with benefits administration.
